Privacy Policy

ExpoData (“ExpoData”, “we”, “us”) provides a WhatsApp-first platform that helps businesses capture and follow up with the visitors they meet at exhibitions and trade shows. This policy explains what personal data we handle, why, and the choices available to you. It applies to the ExpoData service at expodata.in and the WhatsApp interactions it powers.
1. Who is responsible for your data
Each business that uses ExpoData (the “Organization”) decides what data it captures and is the controller of the leads it collects. ExpoData acts as a processor, handling that data on the Organization’s behalf to deliver the service. If you were contacted by an Organization through ExpoData and wish to exercise your rights, please also contact that Organization directly.
2. Information we collect
- Contact details extracted from business cards you share (name, company, role, phone, email).
- Voice notes and text that a salesperson records about the conversation, and their transcriptions.
- WhatsApp messages exchanged between the Organization’s number and visitors, including delivery status.
- Lead and account data such as interests, products discussed, meeting requests and follow-up history.
- Technical data such as log and usage information needed to operate and secure the service.
3. How we use your data
- To extract structured contact details from a business card and transcribe voice notes.
- To summarize and score a lead, and to draft personalized follow-up messages for the Organization to approve.
- To send follow-up messages over WhatsApp and email at the Organization’s direction.
- To answer visitor questions using only the Organization’s approved product information.
- To record leads in the Organization’s connected tools (for example a Google Sheet) and provide analytics.
4. WhatsApp and Meta
Messages are delivered through the WhatsApp Business Platform operated by Meta. Your use of WhatsApp is also governed by WhatsApp’s own terms and privacy policy. Business-initiated messages use pre-approved message templates, and you can stop receiving messages at any time (see “Your choices” below).
5. Automated processing (AI)
ExpoData uses AI models to read business cards, transcribe voice notes, summarize leads and draft messages. The AI is instructed to use only the information provided and the Organization’s approved knowledge, and it does not make final decisions about you without a person in the loop — follow-ups are approved by a salesperson before they are sent.
6. Sharing your data
We do not sell your personal data. We share it only:
- with the Organization that captured your details;
- with service providers that help us operate the platform (messaging, AI processing, transcription, email delivery, hosting, and spreadsheet storage where the Organization connects it), under appropriate confidentiality obligations;
- where required by law, or to protect the rights and safety of users and the public.
7. Data retention
We retain personal data for as long as the Organization maintains its account and needs it for the purposes above, and then delete or anonymize it in line with the Organization’s retention settings and applicable law.
8. Security
We use industry-standard measures to protect data, including encryption of sensitive credentials, encrypted transport (HTTPS), access controls and tenant isolation so each Organization can only access its own data.
9. Your choices
- Opt out of WhatsApp messages at any time by replying STOP to a message; we will unsubscribe you.
- Access, correction or deletion of your data — contact us or the Organization that holds it.
